1. Who We Are
QuickSnap ("we", "us", "our") operates smart photo booth services for venues and events across the United Kingdom. We are the data controller for the personal data we process. If you have any questions about this policy or your data, contact us at hello@quicksnap.uk.
2. Age Restriction
Our services are intended for individuals aged 18 and over only. Our photo booths are installed in licensed venues (bars, nightclubs, event spaces) where the minimum age of entry is typically 18. We do not knowingly collect personal data from anyone under the age of 18. If we become aware that we have collected data from a person under 18, we will delete it promptly.
3. What Data We Collect
3.1 Photo Booth Users (Guests)
When you use a QuickSnap booth, we collect:
- Your mobile phone number (required to send your photo/video via SMS)
- Photos and/or videos captured at the booth
- The date, time, and venue of the capture
3.2 Website Visitors & Enquiries
When you submit a contact form or enquiry, we collect:
- Your name, email address, and phone number
- Your venue name, venue type, and any message you provide
3.3 Venue Partners
When you sign up as a venue partner, we collect:
- Business contact details (name, email, phone)
- Venue information (name, address, type)
- Account credentials for the manager dashboard
4. How We Use Your Data
We process your personal data for the following purposes and legal bases under the UK General Data Protection Regulation (UK GDPR):
- Performance of a contract: Delivering photos/videos to your phone via SMS; providing venue management services to partners.
- Legitimate interests: Improving our services; analysing booth usage patterns (anonymised); preventing fraud and misuse.
- Consent: Sending marketing communications (you may withdraw consent at any time).
- Legal obligation: Complying with applicable laws and regulations.
5. How We Share Your Data
We share personal data only where necessary:
- Twilio: Our SMS delivery provider, used to send photos/videos to your phone number. Twilio processes your phone number and message content on our behalf.
- Cloudflare (R2 Storage): Photos and videos are stored securely using Cloudflare R2 object storage.
- Railway: Our application hosting provider.
- Venue partners: The venue where you used the booth may access aggregated analytics (e.g. number of photos taken). They do not receive your phone number in plain text.
We do not sell your personal data to third parties. We do not share your data with advertisers.
6. Data Retention
- Photos and videos: Retained for 90 days from the date of capture, then automatically deleted.
- Phone numbers: Retained for up to 12 months for venues with active subscriptions. On venue cancellation, guest data is deleted within 30 days.
- Contact form submissions: Retained for 12 months, then deleted.
- Venue partner accounts: Retained for the duration of the partnership and 12 months after termination.
7. Data Security
We implement appropriate technical and organisational measures to protect your data, including encryption of phone numbers at rest and in transit, secure HTTPS connections, access controls, and regular security reviews. Photos and videos are stored in encrypted cloud storage.
8. International Transfers
Some of our service providers (Twilio, Cloudflare) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the Information Commissioner's Office (ICO), or adequacy decisions.
9. Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate personal data
- Erase your personal data ("right to be forgotten")
- Restrict processing of your personal data
- Data portability — receive your data in a machine-readable format
- Object to processing based on legitimate interests or for direct marketing
- Withdraw consent at any time where processing is based on consent

10. Cookies
Our website uses only essential cookies required for the site to function. We do not use third-party tracking cookies or analytics cookies.
11. Complaints
If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
12. Changes to This Policy
